Electronic signature in insurance: long-term evidence strategy
How to organize proof retention for insurance over years, including legal windows, migration and integrity guarantees.
Insurance disputes can occur years after signature. A short-lived archive is operationally expensive.
Define retention before signatures happen
Plan retention windows by jurisdiction, contract type and regulation. When possible, map these windows directly to product lifecycle rules and claims obligations.
Integrity strategy
Use an immutable archive design:
- signed artifacts and manifests,
- hash checksums and periodic verification,
- immutable storage with restricted deletion rights,
- periodic restoration tests.
Format and migration
PDF and JSON can become outdated. Keep migration plans so evidence remains verifiable after format changes:
- keep canonical originals,
- store transformation metadata,
- re-compute checksums after controlled conversion.
Operational process
Every archive should have owners, review cadence and incident playbooks for:
- storage corruption,
- policy changes,
- provider incidents.
